1.1 BACKGROUND OF THE FORMATION OF THE
ASSOCIATION:
The members for the formation
of the Alumni Association was taken by the meeting of the representatives of
parents and teachers, held on 12-04-2007.
The decision was taken considering the wish of the ex-students of GPTC
Kannur, who are working in different places.
This also aims at the progress and prosperity of the College as well as
the students of coming generation.

AIM AND AREA OF OPERATION:
3.1. To create opportunity for the reunion of the old
students for the retention of their
friendship.
3.2. To help the old students who are working in
different places to get better job
opportunities.
3.3. To provide monetary help for the talented
students of the college, who are economically
backward.
3.4.
For providing job opportunities for the students who complete their course.
3.5. To help the college authorities to utilize the
opportunities in Government & other levels
for the
development of the college.
3.6. To make the construction works needed for development
of the college, under the
leadership of the association.
3.7. To improve the relationship between the teachers
and students and to develop mutual
respect.
4. STRUCTURE:
4.1.
PATRON
The Principal of the college will be the patron of the
association.
DUTIES OF THE PATRON:
4.1.1. To provide instructions for
the proper working of the association.
4.1.2. To ensure that the functioning of the
association is in accordance with the dignity and fame of the College.
4.2. GENERAL
MEMBERS:
All those
who have completed either diploma course in any of the branches or
two year
textile certificate course are eligible for the membership in the association.
4.3. MEMBERSHIP FEES:
The registration fees for the membership in the
association is Rs.100/-.
(Rupees One hundred only)
4.4. EXECUTIVE COMMITTEE:
A committee having 27 (twenty seven) members is to be
formed as follows for
governing the
association.
4.4.1. PRESIDENT:
A member working in any institution (more than twenty
years of experience)
other than the
technical education department.
4.4.2. VICE- PRESIDENT : ( TWO NOS.)
1. A member who has retired from the Technical Education
Department.
2. A member from other institution.
4.4.3. SECRETARY:
A member
working in Government Polytechnic College Kannur.
4.4.4. JOINT SECRETARY ( TWO NOS.)
1. A woman member.
2. A member working other than Technical Education
Department.
4.4.5. TREASURER:
A member working in Government Polytechnic College
Kannur.
4.4.6. MEMBERS OF EXECUTIVE COMMITTEE ( 20 Nos.):
Three members, each from the six branches of the
Diploma course and two members from those who completed 2-years textile
certificate course.
[Note: In case the members of any department are not
available temporarily, the particular post must be left vacant and action
should be taken as soon as possible to fill the post. The representation of
every branch in the committee is to be ensured.]
5. ADMINISTRATION:
5.1. A general body meeting is to
be held annually ( On the 2nd
SATURDAY OF MAY-
Which is known
as ALUMNI DAY ) and members of the
committee are to be selected.
5.2. The selected Committee must
hold at least 3 meetings per year.
6. DUTIES
OF THE MEMBERS OF THE EXECUTIVE COMMITTEE:
6.1. PRESIDENT:
i. To preside the committee meetings (Executive & General
Body).
ii. To control the sessions,
iii To develop efficiency, dedication and unity among
the members.
iv. To make discussions
with the College authorities and related firms for the activities leading to
the development & progress of the
committee & the college.
v. To direct the treasurer in
handling the working fund.
6.2. VICE-PRESIDENT:
i. To preside the sessions in
the absence of the President.
ii. To help the President in
making decisions in the developmental activities.
iii. To provide necessary
initiation for the implementation of the decisions taken by the
committee.
6.3. SECRETARY:
i. To convene the executive
committee and General body meetings.
ii. To maintain the minutes of
the session.
iii. To present the report on the
action of the previous session in every meeting.
iv. To make discussions with the related members
beforehand about the matters to be discussed
in the meeting and present it.
v. To maintain all the records
related with the activities of the association.
6.4. JOINT SECRETARY:
i. To help the Secretary in
preparing the minutes of the meetings.
ii. To perform the duties of the
Secretary in his absence.
iii. To ensure active
participation in the activities by the association.
6.5. TREASURER:
i. To handle the financial
matters of the association.
ii. To keep the receipts and
vouchers of the income and expenditure.
iii. To convince the Executive Committee and General Body about the
income and expenditure and the economic condition.
iv. To maintain the account in the
bank jointly with the President.
6.6.
COMMITTEE MEMBERS:
*. To take part in the meetings of the Executive
Committee and provide opinions and instructions needed for the proper functioning
of the association.
6.7. GENERAL MEMBERS:
i. To observe the activities of the association and
provide the Committee members with necessary instructions and advices.
ii. To cooperate with the
activities of the association for its success.
7. WORKING
FUND:
7.1. Besides the registration fees collected from the members, the
donation from generous people or the associations will serve as the working
fund of the Alumni Association.
7.2. The above mentioned amount is to be deposited in the JOINT ACCOUNT
OF A NATIONALIZED BANK in the name of the PRESIDENT AND TREASURER and should be
withdrawn as per the decision of the Executive Committee.
7.3. The treasurer should present the expenditure of
each programme, before the Executive
Committee and get consent for
the same.
7.4.
No cash balance is to be kept in hand but should be deposited in the bank since
there is no
chance of emergency expenditure.
7.5.
In case of any emergency expenditure, the advance may be temporarily borrowed
from any
sources like PTA and must be returned back as early as possible.
8. REPLACEMENT
OF OFFICE BEARERS:
8.1.
SECRETARY AND TREASURER:
If the Secretary or Treasurer is unable to discharge
his duties due to any unavoidable circumstances, Patron (Principal) will depute
another member working in this institution to take charge of the Secretary or Treasurer.
8.2. ALL OTHER OFFICE BEARERS AND EXECUTIVE COMMITTEE MEMBERS
Even any office bearer or executive
committee member unable attend the meetings, they
are replaced only in the next General body meeting.
9. MALPRACTICE
OF OFFICE BEARERS:
Any
complaint noticed against the office bearers, it is to be investigated by a committee appointed by the
executive committee. Investigation
report will be discussed in the executive committee and proper action will be taken against them.
10. QUORUM
OF EXECUTIVE COMMITTEE:
The quorum of the Executive Committee will be one half of the total
members of the committee.
11. MODIFICATION
OF BYELAW:
In case of any time to time changes required in the
byelaw, the same can be implemented by the
two-third majority of the members present in the General body meeting.
12. ANUAL
GENERAL BODY MEETING AND ITS QUORUM:
Every year General body meeting of association will be
conduct on second Saturday of month
May. The quorum of General body
meeting is one tenth of the total members enrolled.
13. AUDITING:
Income and expenditure of the association should be
audited by an auditor appointed by the general body. Audited report should be presented in the Annual general body
meeting. All account records in
connection with income and expenditure of the association should be handed over
to the auditor for auditing. It is the
responsibility of the secretary.

15. GENERAL
CHARACTER OF THE ASSOCIATION:
Any type of political or religious activities should not be performed under the ban of the association. More over association name should not be utilized for any political or religious activities.
16. DISSOLVING THE ASSOCIATION:
In any circumstance, if the association is to be
dissolved, its assets will be handed over to the Government of Kerala.
